Privacy Policy
How Doors Open Management Inc. collects, uses and protects information, including applicant screening data.

Doors Open Management Inc. ("we", "us", "our") operates doorsopenmanagement.site and provides residential property management services. This Privacy Policy explains what information we collect, why, and the choices you have. We handle information for three groups: property owners, residents and rental applicants.
1. Information We Collect From Owners
- Name, mailing address, email address and phone number
- Property addresses, ownership documentation and HOA details
- Banking details for disbursements and tax identification for 1099 reporting
- Insurance policy information and mortgage details where relevant
- Management agreements, correspondence and instructions
2. Information We Collect From Applicants And Residents
- Name, date of birth, Social Security number and government issued ID
- Current and prior addresses and landlord references
- Employment and income information, including pay stubs
- Credit reports, criminal background reports and eviction search results
- Emergency contacts, vehicle and pet information
- Lease documents, payment history and maintenance request records
3. Screening Reports And The FCRA
Consumer reports used for tenant screening, including credit, criminal and eviction data, are obtained through third party consumer reporting agencies and are governed by the Fair Credit Reporting Act. Applicants authorize this in writing as part of the application. If an application is denied or conditioned based in whole or part on information in a consumer report, we provide an adverse action notice identifying the reporting agency and informing you of your right to obtain a free copy of the report and to dispute its accuracy directly with that agency. We do not make the decision on behalf of the reporting agency, and the agency cannot explain our decision.
4. Information Collected Automatically
- IP address, browser type, device type and operating system
- Pages viewed, time on page and referring website

5. How We Use Information
- To evaluate rental applications against our written criteria
- To prepare and administer leases
- To collect rent, issue notices and handle delinquencies
- To coordinate maintenance and vendor access
- To conduct and document inspections
- To disburse funds to owners and produce statements and 1099 forms
- To comply with Florida landlord tenant law, fair housing law and tax obligations
6. How We Share Information
We do not sell personal information. We share it only as needed:
- Consumer reporting agencies conducting screening
- Property owners, who receive applicant summaries relevant to approval decisions
- Vendors and contractors, who receive contact and access details needed to perform work
- Attorneys and courts in connection with evictions or disputes
- Insurance carriers in connection with claims
- Banks and payment processors handling rent and disbursements
- HOA and condominium associations where approval of a resident is required
- Government agencies and law enforcement where required by law
7. Security Deposits And Financial Data
Security deposits are handled in accordance with Florida Statute 83.49. Banking information provided for rent payment or owner disbursement is transmitted through secure payment processors and is not stored in plain text by us.
8. Property Access Information
Lockbox codes, gate codes, alarm codes and keys are held only as needed for management, shared only with vendors performing authorized work, and updated when a tenancy ends.
9. Data Retention
Applicant records for denied applications are retained for the period required by fair housing recordkeeping obligations, generally several years, and then securely destroyed. Lease, financial, tax and maintenance records are retained for the periods required by Florida law and applicable tax rules. Inspection photographs are retained for the duration of the tenancy and a period afterward to support deposit decisions.
10. Security
We apply reasonable administrative, technical and physical safeguards, with particular care around screening data and Social Security numbers. No method of transmission or storage is completely secure. Please submit applications through our secure application system rather than by email.
11. Your Choices And Rights
- Request a copy of the personal information we hold about you
- Ask us to correct inaccurate information
- Dispute information in a consumer report directly with the reporting agency
- Ask us to delete information we are not legally or contractually required to keep
- Opt out of marketing communications at any time
12. Children
We collect information about minor occupants only as necessary for lease administration, provided by the adult applicants. We do not knowingly collect information directly from children.
13. Third Party Links
This site links to third party platforms including Facebook, Instagram and Google Maps, and our portals are hosted by third party providers. We do not control those services or their privacy practices.
14. Changes And Contact
